  1. 2026

    Keep the email provider you already use

    • NewIf you already send email, you already have a provider and a reputation you built. Connect your own Amazon SES or Mailgun account under Settings → Sending, and your mail sends from yours — your domains, your reputation, your limits. rootmail becomes the layer on top: per-client domains, per-client reputation, suppression, replies and proof.
    • NewWe check the credentials against the provider before saving them, and tell you exactly what came back. “That AWS account is still in the SES sandbox” is something you can act on; “couldn’t connect” is not.
    • ImprovedNothing about your existing setup changes, and nothing is locked in — disconnect and sending returns to rootmail’s account. If a connected account’s credentials stop working, we fall back rather than failing your sends, and tell you on the settings page.

  2. Client domains are signed as the client

    • FixedMail for a client domain was signed under rootmail’s domain rather than theirs, so it never aligned to the client for DMARC. Client domains are now registered with our sending provider directly, and their mail is signed as them.
    • ImprovedSetting up a client domain now means publishing three CNAME records instead of a signing key we generated. The keys are managed and rotated for you, and there is nothing of yours to keep secret.

  3. Permission, in the places it was assumed

    • NewImporting contacts now asks you to confirm that everyone on the list gave you permission to email them, and records that confirmation against the import. Purchased, rented and scraped lists are not allowed — they get everyone blocked, not just the sender.
    • NewMarketing and sales mail can only go to people already in your audience. A campaign to an address you never collected is refused. Transactional mail — receipts, password resets — is unaffected.
    • NewCommercial email now requires your business postal address to be set. The law has always required it on the message; we were letting it be sent without one.
    • NewOur sending rules are published at /legal/acceptable-use rather than buried in the Terms, with the enforcement described in plain words.

  4. Every account is watched now, not just multi-client ones

    • NewBounce and complaint rates are scored for every account on a rolling seven days, and acted on automatically — a warning, then slower sending, then a pause. This previously applied only to accounts sending on behalf of clients, which meant most senders were measured by nothing at all.
    • NewA client paused for its reputation can no longer be deleted and recreated to clear the pause, and repeatedly resuming one now asks you to talk to us instead. The point of a pause is that something needs fixing.
    • ImprovedSuppression lists survive deleting a client. Their bounces and complaints keep protecting those recipients rather than disappearing with the record.

  5. Unsubscribing stops the newsletter — not the password reset

    • FixedAn unsubscribe was blocking every message to that address, including receipts and password resets. Someone who left your newsletter could be locked out of their own account recovery. An opt-out now applies to marketing and sales mail only, which is what it always meant and what our policy has always said.
    • FixedBounces and complaints still block everything, as they should — those addresses cannot receive mail at all.
    • FixedThe live status on a message no longer freezes. It could stop updating after a retry, or after you switched tabs and came back, leaving a finished send looking stuck.

  6. We check what you’re sending before it goes

    • NewExecutable attachments are refused — .exe, .msi, .vbs, .jar and the rest. Most mailbox providers reject them anyway, and sending them damages deliverability for everyone on the platform. Send a link to the file instead.
    • ImprovedThe attachment limit is now 7MB per email and enforced when you send, not when it fails. It previously accepted up to 20MB and then failed at delivery, because providers reject anything over 10MB once encoded.
    • ImprovedSending is now rate-limited per account rather than per API key, so the ceiling is the same whether you use one key or ten.

  7. Answer a data request without a support ticket

    • NewIf someone asks what you hold about them, or asks you to delete it, there are now two endpoints for it — a full export of everything tied to an email address, and an erasure that removes it. GDPR gives you 30 days to answer; you should not spend them writing a database query.
    • NewErasing someone keeps one thing on purpose: their unsubscribe. Deleting that would mean your next campaign emails them again, which is the opposite of what they asked for. Everything else identifying them is removed, and the messages you sent stay provable — you keep the evidence that you had permission, without keeping them.
    • NewYou can stop a campaign that is already going out. Cancelling takes effect within a couple of seconds rather than at the end. Mail already handed to the provider can’t be recalled — we say so plainly rather than implying otherwise.

  8. Change a client's signing key without dropping a message

    • NewYou can now rotate a client's DKIM signing key from their page. We generate the new key and give you one record to add — alongside the existing one, never instead of it.
    • ImprovedNothing switches over until we can actually see the new record. Their mail keeps signing with the current key the whole time, so there is no window where messages fail authentication, and a rotation you never finish publishing simply sits there harming nothing.
    • ImprovedAfter the switch we tell you to keep the old record for another week, and when it is safe to delete. Mail you already sent is still checked against it — removing it early is what makes delivered messages look unsigned.

  9. Send it again, when sending again is actually safe

    • NewA message that failed to send now has a “Try sending again” button, with the reason it failed next to it. No copying the details into a new draft.
    • NewIt refuses when retrying would do harm, and says why: a message your provider already accepted can’t be re-sent (that would put a second copy in someone’s inbox), a bounce can’t be re-sent (it would bounce again and cost your sending reputation), and someone who has unsubscribed since it failed stays unsubscribed.
    • ImprovedA message that succeeded on the second attempt now says so, instead of looking like it worked first time. Your delivery rates and reputation still count it once — as the one message it is.

  10. We keep checking your clients' domains, not just once

    • NewDomain verification used to happen once. If a client later deleted the DNS record we told them to add, nothing noticed — they kept a green “verified” badge while every message they sent failed authentication and went to spam. Every verified domain is now re-checked hourly.
    • NewWhen records go missing we email you straight away with the exact record to put back, and their mail keeps flowing. If it is still missing six hours later we stop their sending, because unauthenticated mail costs the reputation of every client on your account. Put the record back and their sending resumes on its own — there is no button to press and no ticket to raise.
    • ImprovedOne failed DNS lookup never stops anyone. A resolver that times out is not a deleted record, so the six-hour window has to elapse with every check failing before anything is switched off.
    • FixedSelf-hosted installs no longer default to the demo mode that auto-passes domain verification for every domain, including ones the tenant does not own. It is now opt-in, and refused outright in production.

  11. Replies thread properly, in your inbox and in theirs

    • FixedA reply only reached your inbox if it kept the special reply address we put on the original. Reply to a forwarded copy, or use a mail app that ignores it, and the reply was discarded without a trace. Replies are now also matched on the standard headers every mail client sends, so those land where they belong.
    • FixedYour replies now continue the conversation inside the recipient's own mail app instead of appearing as a separate new email beside it.
    • ImprovedEvery message we send now carries a proper Message-ID, which is what mail clients group a conversation by.

  12. Every client's mail, numbers and proof stay their own

    • FixedIf you send on behalf of clients, a key or session limited to one client could previously read another client's message, audit trail, bounce rate or compliance export by asking for it directly. It cannot any more — the client a request belongs to is now decided by the credential, and asking for a different one is refused rather than quietly answered.
    • NewEach client now has its own sending reputation, watched every 15 minutes. Bounce or complaint rates that climb get a warning, then slow sending, then a pause — so one client's bad list stops costing the others. A paused client shows why, with the numbers behind it, and only a person can resume it.
    • NewAPI keys can be tied to a single client, and a key tied to one can no longer see or revoke your own.
    • ImprovedClient DKIM signing keys are encrypted where they're stored.
    • ImprovedWe removed three claims we could not back: that clients were isolated from each other, that DKIM keys rotate automatically, and a test suite that did not exist. The first is now partly true and described precisely; the second is on the roadmap rather than in the past tense; the third exists — 81 tests, covering the paths where a silent regression would be a breach.

  13. See who is waiting for which email

    • ImprovedOpening a sequence now joins the two halves of the screen. Each email in the journey shows how many people are sitting there waiting for it — click that number and the list below narrows to exactly those people. The end of the journey does the same for everyone who finished, left early, or couldn't be reached.
    • FixedThe people list used to show a step number that counted waits as steps, so “3” could mean your second email. It now names the email they're waiting for and when it lands.
    • NewA countdown you can drop into an email that redraws each time it loads — so “2 days left” is worked out when the email is opened, not when you wrote it. Gmail and most webmail readers see the time left when they open it; Apple Mail shows the time left when it arrived, because Apple loads images before you do; Outlook shows your wording until images are allowed.
    • NewMotion on the marketing site: a product tour that plays itself, plus a carousel and a marquee. Nothing animates content into view — if an animation never runs, everything is still readable.
    • FixedPlain-text copies of your emails now include the wording you gave an image, instead of leaving a gap where a picture-only block was.

  14. Sequences you can build without learning how sequences work

    • ImprovedBuilding a sequence is now three steps — who joins it, what they get, and when it goes live — instead of one page asking for everything at once. The second step opens on shapes most people want (a welcome series, onboarding, winning someone back) so you start from something real rather than an empty list.
    • ImprovedYou no longer add “wait” and “send” as separate steps. You add an email and say how long after the last one it goes out, which is how people describe a sequence anyway: send this, then two days later send that.
    • NewBefore you turn it on, you see what one person will actually experience — each email in order, on the day it lands.
    • ImprovedOpening a sequence now shows what it is doing: how many people are partway through, how many have finished, and every email in the journey with its own opens and clicks attached to it. It used to open straight into an edit form, with the numbers in a separate table you had to match up by step number yourself. Editing is still one click away.
    • ImprovedThe sequence list says what each one does — “tagged new-signup”, “3 emails over 7 days” — rather than describing its internals.

  15. Every email you send is in the dashboard — however you sent it

    • ImprovedEmail sent through the API, or from your own product, now appears in the dashboard exactly like email composed in the app: the same record, and the same conversation thread under the contact. Before, sending through the API meant those messages were the only ones without a thread — and a customer who replied to one had nowhere to land.
    • ImprovedThat also means replies to your API sends arrive in your Replies inbox, threaded under the person who wrote them, instead of going only to whatever address happened to be on the message.
    • FixedOne unsubscribe now means unsubscribed everywhere. Turning off product announcements and unsubscribing from a marketing email were two separate lists that didn't know about each other, so someone who opted out of one could still hear from the other. They're one list now — and a bounce or spam complaint is never undone by someone opting back in.

  16. Audiences that keep themselves up to date

    • NewAn audience can now describe itself instead of holding a fixed list of people: “everyone on a free plan who never finished setting up”, “everyone quiet for a month”. Its members are whoever matches right now, so it stays correct on its own — you never rebuild it by hand.
    • NewBuild the rule without writing anything technical: pick a field, a condition and a value, add as many as you need, and match all of them or any of them.
    • NewCheck before you commit. “Check” tells you how many people a rule reaches before you save it — and says so plainly when the answer is nobody, so a campaign never goes out to an empty audience looking like it worked.
    • ImprovedSync what your product knows about someone — their plan, when they signed up, whether they finished onboarding — onto their contact, and build audiences from it. Adding a contact by email updates them if they already exist, so a sync can run as often as you like.

  17. The help panel keeps your conversations now

    • NewThe assistant panel — the floating box and the docked one — can reach your past conversations, start a new one, and tell you which one you're in. Before, it held a single conversation and only until you reloaded: ask something, move to another page, come back, and you were starting over with no way to find what you'd just asked.
    • ImprovedIt also remembers where you were. Reopening the panel returns you to the conversation you were having, with its history, rather than a blank one.
    • FixedSupport had a dead end: if you had exactly one conversation with the team, there was no way to start a second. Anything new had to be raised by replying to your existing thread — even a resolved one about something else. Support now has the same conversation list and “new conversation” the assistant does.
    • ImprovedA resolved support conversation says it's resolved and that replying reopens it, instead of quietly looking like the team is still standing by. Your conversation list shows which are open and which are done.
    • ImprovedThe floating panel is wider, so the message area, buttons and the box you type in aren't fighting for the same few inches — and the prompt in that box no longer gets cut off mid-word.

  18. Adding your first people or audience is one thing on the screen

    • ImprovedStarting your audience used to show you a card saying there was nothing here, with the form to fix that opened underneath it — two things competing, and the actual work pushed below the fold. Now the empty screen asks, and choosing gives the form the whole page.
    • ImprovedSame for adding people: pick Import or Add by hand and you get that, rather than the three choices plus a form stacked under them.
    • ImprovedEach of these is its own link, so it survives a refresh and the browser's Back button takes you out of it.

  19. No more blank space under a short email

    • FixedA rendered email is now as tall as the email. Every place we show one — a message, a reply, the preview before you send, an imported template — used a fixed height, so a receipt or a two-line reply was followed by a slab of white that looked like the page hadn't finished loading. A two-line reply took 420px to show 63px of text; it now takes what it needs.
    • ImprovedA genuinely long email no longer reads through a letterbox. It fills the space available and then scrolls within itself, so you're scrolling the email rather than a frame that cut it off.

  20. Room to actually read the email you're replying to

    • ImprovedOpening a conversation now gives it the whole panel instead of sharing it with every other thread on the contact. Those threads each cost height the open one needed — with six of them the reading area was 188px, less than half of a single email — so it shrank the more conversations a contact had. It's now a steady, much larger area whatever the number.
    • ImprovedEvery way into a thread — the list, the table of contents, or just arriving at a contact — lands you on the newest email with the reply box already in view. Before, only the table of contents did; the rest dropped you at the oldest message.
    • Improved“All conversations” takes you back to the full list, and the table of contents still moves between threads directly.
    • FixedThe table of contents sat on top of your email bodies and, in the assistant, your answers — and it grows a mark per conversation, so it covered more the more you had. It now has a column of its own beside the content, and takes no space at all when there's too little to be worth listing.

  21. An open conversation stays put while you read it

    • ImprovedOpening a thread in Replies now gives it its own panel: the subject sits at the top of that panel and stays there, and the emails scroll inside it. Before, the subject pinned itself only after the thread's own top edge had already slid off, so it read as a stray bar floating above the conversation rather than the heading of it.
    • FixedJumping to a conversation from the table of contents lands you at the newest email with the reply box in view, instead of at the oldest message in the thread.
    • FixedSwitching between two threads no longer flashes — the one you're leaving gets out of the way immediately rather than holding the space while it fades.
    • FixedThe table of contents jittered when you hovered it, opening and closing under the cursor before settling. It opens once, steadily.

  22. Find your way around a long conversation

    • NewLong assistant chats and contacts with several email threads now have a table of contents — a quiet column of marks at the edge that opens into a list you can jump from. No more scrolling back hunting for the bit about pricing.
    • FixedThe People and Audiences tabs disagreed about whether to show a count: the people total vanished the moment you looked at Audiences. Both always show one now.
    • FixedThat People count also used to change when you searched, so the tab was reporting your filter rather than the size of your audience. It counts everyone; the filtered figure stays where it belongs, above the list.
    • ImprovedFolding the conversation list away is a movement now rather than a jump.

  23. A conversation list you can actually read — and put away

    • FixedConversation titles were cut off mid-word, so three different chats could all read “Campaign Results An…”. They wrap to their full length now — the list's whole job is telling one conversation from another.
    • NewThe conversation list folds away, and stays folded until you bring it back. The answer gets the full width when you're reading one.
    • NewPast chats are grouped by Today, Yesterday and Previous 7 days, with a filter once you have enough of them to lose one.
    • NewYou can stop watching a long answer. It carries on and saves either way — reopen the chat to read the rest — so stopping costs you nothing.

  24. Campaigns tell you what's left, and who you're about to email

    • FixedPressing Send on a campaign that wasn't ready did nothing at all — no error, no explanation, the page just reloaded. The reason was thrown away before it reached you. It's shown now.
    • NewA campaign says whether it's ready before you send. Missing audience, missing content, no verified sending address — each one is named, with a link straight to the page that fixes it, and Send stays disabled until they're done.
    • NewSend now tells you how many people it reaches, and asks once before it goes. Mail can't be unsent, and the old button never said who it was about to email.
    • NewEvery campaign shows where it is in its life — Draft, Sending, Delivered, Engagement — so you can see at a glance what stage you're looking at.
    • ImprovedThe one-click Send in the campaign list is now Review & send, taking you to the campaign where the count, the checks and the confirmation live.

  25. Watch the assistant work, instead of watching a spinner

    • NewThe assistant now answers in front of you. It says what it's about to do, each lookup appears the moment it lands, and the answer writes itself out as it's composed — instead of a still spinner for twenty seconds followed by a wall of text.
    • NewConversations belong to whoever you were working as. Chats started while viewing a client stay with that client, and your workspace chats stay yours — so a transcript can't mix one client's figures with another's.
    • FixedThe first message in a new conversation could vanish from the screen. The assistant had actually answered and saved it — reopening the chat showed it — but the page reset itself underneath the reply as it arrived.

  26. The assistant can now see your replies, your audience and your results

    • NewAsk it “has anyone replied?” or “what still needs answering?” and it reads your inbox — naming who wrote, quoting what they said, and offering to draft an answer for you to approve before anything goes out.
    • NewIt knows your audience now: how many contacts you have, who carries a tag, who's at risk, and everything on one person's record — read from your real data rather than guessed.
    • NewAsk how a specific campaign did and you get that campaign's own figures — reached, delivered, opened, clicked, bounced — and who did what. Previously it could only report totals across everything you'd ever sent.
    • New“Am I set up to send?” is answerable. It checks your sending addresses, which is the most common reason a send is blocked and the one thing the message record never showed.
    • ImprovedWhile it works you can see that it's working — and for how long — instead of one motionless spinner through a job that legitimately takes several steps.
    • ImprovedIf you're viewing one client, the assistant is too. It answers for that client and says so by name, and when you ask something account-wide it tells you to leave client view rather than quietly handing you one client's numbers as if they were the whole business.

  27. When something doesn't work, we now say so

    • FixedThirteen buttons across the dashboard could fail and tell you nothing — deleting an audience or a template, revoking a key or an invitation, unsubscribing someone, changing an add-on. The reason was thrown away before it reached you.
    • FixedThe worst of these were the deletes. The row usually disappears from view the moment you click, so a refusal looked exactly like a success — you'd only find out it was still there when you next loaded the page. Now the reason appears next to the button you pressed.
    • ImprovedActions that were quietly doing nothing when something was missing now say what's missing — “an audience and an email address are both required” rather than a click that goes nowhere.

  28. Work as one client at a time

    • NewIf you run email for clients, you can now switch into one of them. Pick a client from the top bar and the whole dashboard narrows to them — their mail, their audience, their campaigns, their numbers — until you switch back. A band across the top always names who you're looking at.
    • NewEvery client domain row has a “View as client” button, so you can go straight from the list into that client's world.
    • ImprovedClient domains used to stop at setup: you could add one and verify it, but there was no way to actually work as that client without calling the API yourself. That gap is closed.
    • ImprovedFor developers: the X-Rootmail-Subtenant header now scopes reads as well as sends. Listing messages, analytics and deliverability all return that client's figures alone, so a per-client dashboard needs no filtering of your own.

  29. Pricing pages that say what you actually get

    • FixedComparing plans quoted “from $6/block” when the first block is $8 — $6 is the rate at high volume. Every number on these pages now comes from the live price list, so what you read is what checkout charges.
    • FixedClient sending domains and a dedicated IP were listed among what Transactional includes. They're add-ons you buy separately. Each product now shows what it includes and, kept clearly apart, what you can add on top.
    • FixedMarketing implied every plan had multi-step sequences; they start on Growth, and the page now says so by name. The replies inbox was filed as a marketing perk — it's free on both sides, always.
    • ImprovedThe list of what every plan includes used to open with the REST API and SDK, which made rootmail look like something you have to code against. It leads with what you can do without writing anything — design, send, see what happened, ask the assistant — and the API, SDKs and webhooks are still there, free, in a line at the end for the people who want them.
    • ImprovedMarketing's plan comparison now covers the things the wing actually grew: collecting subscribers with a signup page or embedded form, contact records with tags and lifecycle stages, and previewing the exact email each person will get.
    • FixedAdd-ons and Compliance still advertised a Data residency add-on that was retired — nothing to buy, and the link went nowhere. Compliance now states plainly that we run a single region and points you at us if you need another.

  30. Adding a client domain is a guided setup now

    • ImprovedThe page used to explain the three steps in a row of cards and then open the create form underneath them — so the steps described a process the page didn't actually walk you through, and everything after step one happened somewhere else after a redirect.
    • NewAdding a client domain is now a proper setup: name the client and their domain, get the DNS records to publish right there with copy buttons on each one, then verify — moving forward a step at a time, with the same progress rail you already see when writing a message or launching a campaign.
    • ImprovedVerification tells you what actually happened. If the records haven't spread yet it says so and offers to check again, rather than looking like a failure. And you can stop after any step — the domain is saved and waiting under Client domains.

  31. Settings pages that show you the answer first

    • ImprovedEvery setting used to sit in its own card with the editor already open — so an account you finished configuring months ago still looked like a half-filled form. Now each one states what it's set to, and the editor opens when you ask for it.
    • ImprovedYour postal address is shown as an address, with a preview of the footer it produces, instead of a permanently open text box. Same for your sending addresses: the list is the page, and the add form appears when you want to add one.
    • ImprovedSecurity is two plain rows now — two-factor with an On/Off badge, and a real switch for announcements — rather than two cards wrapped around two switches.
    • FixedThe reply settings still said your own reply domain was “coming soon”. It shipped a while ago — and it's the setting immediately below.

  32. A profile that actually tells you who you are here

    • ImprovedProfile showed an email with no label, leaving you to guess which one it was. It now says plainly: this is the address you sign in with and where we send you account mail — and it is not the address your recipients see, which is a sending address, and you can have several.
    • NewEvery workspace you can open is listed, not just the one you're in — each marked Live or Sandbox, with what that means, and a button to switch. Profile used to print a single “Workspace” value even though almost every account has at least two.
    • NewYour sign-in section also shows whether your email is verified, whether two-factor is on, and when you joined.
    • FixedNothing in Settings opens itself any more. Two-factor setup and the postal address editor used to be unfolded before you asked, and the sending-address form sat open even when you had nothing to add — it's an empty state with an invitation now.

  33. Settings now has a front page

    • NewOpening Settings used to drop you straight into Profile, so there was nowhere that answered “what can I change?”. There's now a map: every setting listed once, in plain language, grouped by what it's for.
    • NewEach row shows what it's set to right now — whether two-factor is on, how many sending addresses are verified, where replies go, whether your postal address is filled in. You read it instead of opening four pages to find out.
    • NewSearch across all of it. Type “2fa”, “unsubscribe”, “okta” or “dns” and the right setting comes up, wherever it lives.
    • ImprovedAnything unfinished floats to the top under “Worth finishing” — a missing postal address, for instance, which marketing sends legally need in the footer.
    • ImprovedSettings that live in their own sections — your team and SSO, plan and usage, client domains, proof and retention, API keys and webhooks — are listed here too, labelled with where they actually are. Looking for SSO in Settings now finds it instead of finding nothing.

  34. Replies that move with you

    • ImprovedOpening and closing a conversation no longer snaps. Threads and individual emails unfold and fold on a spring, so you keep your place instead of hunting for it after the page jumps.
    • ImprovedThe reply box grows as you write, up to a comfortable limit, rather than staying a two-line slot you have to scroll inside. The Reply button now says what it's doing — Reply, Sending, Sent — without changing size or shifting the layout.
    • ImprovedA reply you send slides into the thread as a new email instead of appearing out of nowhere, and folding the people list away is now one continuous movement from the full list to the strip of faces.
    • ImprovedFiltering and switching people got quieter: the selected filter pill travels between All and Needs reply, a single marker slides to whoever you're reading, and rows close the gap as they filter out. If your system asks for reduced motion, all of it is off.

  35. Not right for one person? Change just their copy

    • NewThe campaign pre-flight now lets you edit one recipient's email. Open their copy, rewrite the subject or the message in the normal editor, and save — only they get that version. Everyone else keeps the campaign's normal copy.
    • NewAn edited copy wins over the template AND over any A/B variant, so it's genuinely the version chosen for that person. Edited recipients are marked in the list, and one click puts them back on the normal copy.
    • ImprovedEdits go through the normal send path: {{variables}} you type still fill in from that contact's record, and the required postal address + unsubscribe footer is still added. Editing is refused on a campaign that's already gone out, rather than quietly having no effect.

  36. Hide the sidebar — and get it back by brushing the edge

    • NewThe main sidebar hides. Press ⌘\ (Ctrl+\), or use the new button in the top bar, and the page takes the full width. Your choice is remembered.
    • NewWith it hidden, move your cursor to the left edge and it slides back over the page on a frosted panel — the way macOS reveals a hidden dock. The page underneath doesn't reflow, so nothing you were reading jumps. Scroll it, click through it, and it leaves on its own when you move away; pin it from its header to keep it.
    • ImprovedEscape dismisses the revealed panel, following a link from it puts it away, and while hidden it's properly out of the way for keyboard and screen-reader users rather than merely off-screen.

  37. Replies: give one conversation the whole screen
